This Privacy Policy explains how Motown Transport Solutions (Motown Transport Solutions LLC, “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with our vehicle transport brokerage services and our internal business software, including any software that connects to third-party accounting systems on our behalf.

1. Who we are
Motown Transport Solutions is a licensed property broker that arranges the transport of vehicles between shippers and licensed motor carriers. We are the data controller for the personal information described in this policy.

2. Information we collect
Information you give us
- Contact details — name, email address, telephone number, and mailing or billing address.
- Shipment details — pickup and delivery addresses, contact people at each end, requested dates, and any access or handling instructions.
- Vehicle details — year, make, model, VIN, condition, and any modifications relevant to loading.
- Payment details — billing contact and the information needed to invoice you and record payment. Card and bank account numbers are processed by our payment providers; we do not store full payment card numbers on our systems.
- Correspondence — the content of emails, messages, and call notes exchanged with us.
Information we receive from others
- Motor carriers — driver contact details, dispatch status, pickup and delivery confirmations, and Bill of Lading records including condition reports.
- Transport management and load board platforms — order, offer, and status information relating to your shipment.
- Accounting and payment platforms — invoice, bill, and payment records relating to your transactions with us. See section 4.
Information collected automatically
- Website usage — basic server logs such as IP address, browser type, pages requested, and timestamps, used to keep the site available and secure.
3. How we use information
We use personal information to:
- Quote, arrange, dispatch, and monitor vehicle transport;
- Verify motor carrier operating authority, insurance, and safety records;
- Communicate with you about a shipment, including status updates and issues;
- Invoice you, take payment, pay carriers, and keep accurate financial records;
- Reconcile our internal records against our accounting system so that shipments, invoices, and payments agree;
- Handle claims, disputes, and damage reports;
- Comply with legal, tax, insurance, and regulatory obligations, including recordkeeping required of property brokers;
- Detect, investigate, and prevent fraud or misuse of our services.
We do not sell personal information, and we do not share it with third parties for their own advertising purposes.
4. Our internal software and connected systems
4.1 What our software does
We operate proprietary internal software to run the brokerage. It performs three main functions:
- Carrier vetting and monitoring. It checks and re-checks motor carrier operating authority, insurance status, and safety records against federal and commercial data sources, so that a carrier's standing is verified on an ongoing basis rather than once at signup. This processes carrier and company data, not customer personal information.
- Shipment tracking. It records order, dispatch, pickup, delivery, and invoicing milestones automatically as they occur, creating the audit trail behind each load.
- Billing automation and reconciliation. It generates carrier bills, records payments, and reconciles those records against our accounting system so that our operational data and our books agree.
4.2 Platforms we connect to
To do the above, our software connects to the platforms we use to run the business — currently QuickBooks Online (Intuit Inc.), BILL (bill.com), our transport management and load board platform, and federal motor carrier safety data sources.
4.3 What the QuickBooks Online connection accesses
- Read-only access to our own QuickBooks Online company. The software reads invoices, bills, vendors, customers, payments, chart-of-accounts entries, and standard financial reports belonging to our business.
- It does not create, modify, void, or delete any record in our accounting system. Access is technically restricted to read-only operations, enforced in the software itself.
- It does not connect to any customer's or carrier's accounting system — only to accounts we own and control.
- It does not initiate, authorize, or process any payment through the accounting connection.
4.4 Why we do it
- To confirm that every completed shipment was invoiced;
- To identify data-entry errors between our operational records and our books;
- To calculate cost, revenue, margin, and cash flow for our own management reporting.
4.5 What this means for you
Where an invoice or payment record relating to your shipment sits in our accounting system, that record may be read by this software. It stays within our systems and is used only for the purposes above. Access tokens are stored encrypted, are limited to read-only scope, and can be revoked by us at any time.
5. How we share information
We share personal information only as needed to deliver our services and meet our legal obligations:
- Motor carriers — the pickup and delivery contact details, addresses, and vehicle information required to perform the transport.
- Service providers — transport management platforms, load boards, accounting and payment processors, email and hosting providers, acting on our instructions.
- Insurers and claims administrators — where a claim is made.
- Professional advisers — accountants, auditors, and lawyers, under duties of confidentiality.
- Authorities — where required by law, regulation, subpoena, or to protect our legal rights.
- Business transfers — if the business is sold or reorganized, subject to this policy continuing to apply.
6. Data retention
We keep shipment and financial records for as long as needed for the purposes described here and to satisfy legal, tax, insurance, and regulatory requirements. Property brokers are subject to federal recordkeeping rules, and financial records are generally retained for a minimum of seven years. Records no longer required are deleted or anonymized.
7. How we protect information
- Data is transmitted over encrypted connections (TLS 1.2 or higher).
- Credentials and access tokens are stored in an encrypted secrets store, never in source code, and are rotated when staff or access changes.
- Access to systems is limited to people who need it to do their jobs.
- Integrations are granted the narrowest access that will do the job — our accounting integration is restricted to read-only operations.
No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you as required by applicable law.
8. Your rights and choices
Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccurate information, deletion, a copy in a portable format, or to object to or restrict certain processing. You may also opt out of marketing messages at any time; we will still send operational messages about an active shipment.
To exercise any of these rights, contact us using the details in section 11. We will respond within the time required by applicable law. We will not discriminate against you for exercising them.
Some information cannot be deleted on request where we are legally required to keep it — for example, completed transaction and tax records.
9. Children's privacy
Our services are directed to businesses and adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. We will revise the “last updated” date above, and for material changes we will provide a more prominent notice. Continued use of our services after an update means you accept the revised policy.
